Documents have been processed for a long time… manually! Thanks to the advancements in technology this task has become faster and automated. Nowadays, AI can automatically process various types of documents, in a much timelier manner and with less error than humans are able to.
What is document processing?
In general terms, document processing is the act of extracting data (such as text and metadata) contained in digital or printed documents and entering it in digital systems. Here’s an example of document processing:
- A client makes an order from a company;
- The company creates a document with the order;
- The document is sent to the warehouse for fulfilment;
- The warehouse sends the ordered item with an invoice;
- The client receives its order and the invoice.
All this is achieved by passing documents from one department to another and finally to the customer. Now imagine, if this whole process was done by hand, it would take some time for everything to be finished. By automating the document processing, everything is done faster and its less likely for any errors to occur.
How was document processing before AI?
As we illustrated in the previous example, manually processing data is a tedious and time-consuming task, and is also prone to errors (such as typos, incorrect classifications, etc.).
Since the creation of computers and eventually the Internet, document processing became much faster, but it was still mostly done manually. Even with traditional OCR (Optical character recognition) systems, many issues, such as accuracy and speed are present. If an employee must spend many hours processing documents, he would be affected by fatigue and reduce its productivity, being much more prone to error.
How is document processing done with AI?
As we’ve written numerous times, everyday organizations create and process thousands of documents. With the constant evolution of AI and Machine Learning systems, document processing has become much faster, accurate and easy. Employees no longer need to work the tedious task of processing large amounts of documents and can therefore focus on other tasks, using the data extracted from those documents through AI.
